Clients are required to review and agree to our digital contract and image release prior to confirming their session.

A non-refundable session fee (deposit) is required at the time of booking to secure your photography slot. This fee is deducted from your chosen package price. It covers the cost of reserving the studio and compensates for Gemma’s time, skill, and post-session editing. Please note: the session fee does not include any prints or digital images.

After the session, you’ll choose the package that best suits you. All packages must be paid in full on the day of your photo session.

Gemma requires a booking fee to protect against late cancellations, which can be disruptive due to the short-notice nature of securing session dates. Because each photo shoot is tailored specifically to the client, this booking fee is non-refundable—unless Gemma Melton Photography cancels the session.
Once a session date and time have been confirmed, clients may cancel at any time, but any payments made will be forfeited.

Gift vouchers are non-refundable and cannot be extended.
It’s recommended to book at least 6 weeks before expiry as sessions often book up in advance.

If a cancelled appointment is later rescheduled, all monies paid may be transferred to the new session—provided it takes place within six months of the original date and is subject to Gemma Melton Photography’s availability.
In the event of a postponement due to illness or adverse weather, if both parties are unable to agree on a new date, the full booking fee will be retained by Gemma Melton Photography.

Please arrive on time for your session. If you think you may need extra time, kindly let the photographer know when booking so that suitable arrangements can be made.
Late arrivals of more than 20 minutes will be considered a missed session, and a new date will need to be scheduled with an additional £50 session fee.

The number of images provided will vary based on the time spent with the client and the level of activity during the session. Gemma Melton Photography will curate and select the best images from all usable files, delivering a mix of both colour and black & white photographs.
All final images are fully edited before being presented to the client. Additional edits may be offered at the discretion of Gemma Melton Photography, and a charge of £5 per image may apply for extra basic retouching (e.g. hair removal, smoothing fabric, or correcting chipped nail polish).
Please note that unedited RAW files are not available. All digital images will be delivered in JPEG format, with individual file sizes ranging from 1MB to 5MB.

Requests for extensive edits—such as background replacements or digitally repositioning the baby—are usually possible. However, if the edits fall outside the scope of my usual editing or lighting style (as shown on my website), they will be outsourced to a professional retoucher. These edits are charged at £25 per image, based on the complexity of the request. Please note that speculative edits are not available.

Gemma Melton Photography is not responsible for the behaviour or temperament of any individuals involved in the session. If the outcome of the shoot is affected by lack of cooperation or disruptive behaviour, the photographer and studio cannot be held accountable.
While every effort is made to accommodate special requests, these are not considered binding instructions. Full cooperation from all parties is essential to achieving the best possible results. In cases where children are uncooperative, it may not be possible to capture the images the client has requested or envisioned.
Clients are responsible for supervising their children at all times and are expected to assist and cooperate with the photographer throughout the session. Gemma Melton Photography is not liable for any missed photographs resulting from a lack of reasonable cooperation or assistance.
The photographer reserves the right to end the session without refund if there is ongoing non-cooperation. Clients also agree not to hold the photographer or property owner liable for any injuries that may occur during the session.
Gemma Melton Photography is not responsible for images that cannot be captured due to time limitations, late arrivals, or unforeseen circumstances.
Final images will endeavour to be delivered within 21 working days of the session.

All image copyrights remain the property of Gemma Melton Photography.
Clients are granted the right to reproduce their purchased digital images for personal use and to share with family and friends. However, these images may not be entered into competitions, sold, or submitted to stock image libraries.

The client acknowledges that Gemma Melton Photography may use selected images for marketing, promotional purposes (including online), portfolio display, instructional use, or photography competitions.

If images are purchased on USB, Gemma Melton Photography will provide proof of recorded postage; however, we cannot be held responsible for any loss or damage during transit.

Regarding watermarked or non-purchased images displayed on www.gemmameltonphotography.co.uk or across social media:
You are welcome to share posts or tag others, but please do not remove tags or credit links. These low-resolution, watermarked images are intended for online viewing only. They are not authorised for downloading, printing, saving, altering, or redistribution in any form. All rights are reserved.

Digital galleries remain active for 8 weeks. If no image selections have been made within that time, the gallery will expire and be archived. Even if a collection has been paid for in advance, a £50 reactivation fee will be required to retrieve the archived images for selection.

Once images have been selected, the final downloads will be available for 6 months. If the images are not downloaded within this period, an additional £50 reactivation fee will apply to restore access.
